Platform Integration

Your AMS tracks everything.
Nobody's acting on it.

Applied Epic holds your clients, policies, renewals, and claims. But the follow-ups, the activity logging, the renewal outreach? That's still you, every single day. OpenClaw changes that.

OpenClaw connects to Applied Epic's REST API. Clients, policies, activities, documents, claims. All of it.

Epic has the data. You're still doing the work.

Applied Epic is powerful. But it still needs someone to read, decide, and act on everything inside it.

Renewals pile up and slip through

You've got 200 policies renewing next month. Each one needs outreach, a coverage review conversation, maybe a remarket. Epic shows you the list. It doesn't call the clients, send the emails, or log the activities. Your CSRs are buried in spreadsheets trying to keep up, and some renewals inevitably get missed.

Activity logging eats hours every day

Every phone call, every email, every client interaction needs an activity record in Epic. Your team knows this. They also know it takes 2 to 3 minutes per entry. Multiply that by 30 or 40 interactions a day across the agency, and you're losing hours of productive time to data entry that adds no value on its own.

New business inquiries sit untouched

A prospect fills out your website form at 7 PM. Your team sees it the next morning, maybe. By then the prospect has already called two other agencies. Speed matters in insurance sales, and Epic has no way to respond to a lead on its own. It just stores the record and waits for a human.

Cross-selling opportunities go unnoticed

You've got a client with auto and home but no umbrella. Another with a BOP but no cyber liability. The data is right there in Epic. But nobody has time to run the reports, identify the gaps, and reach out to each client individually. Those conversations generate real revenue, and they're just not happening.

OpenClaw + Applied Epic Integration

OpenClaw connects to Epic through the REST API. It reads your client and policy data, makes decisions, and takes action. Here's what that looks like in practice.

Automated renewal outreach

OpenClaw pulls upcoming renewals from Epic's policy API, checks the client's contact info and coverage details, and sends personalized outreach 60 to 90 days before expiration. It logs every touchpoint as an activity in Epic. Your CSRs focus on the clients who respond, not the ones who need reminding.

Activity logging without the typing

OpenClaw creates activity records in Epic automatically. Phone call with a client? It logs it with notes, the topic discussed, and the follow-up needed. Email sent? Logged and attached to the right client record. Your E&O documentation stays complete without anyone spending time on data entry.

Instant new business response

When a new prospect comes in (from your website, a referral, or a lead source), OpenClaw creates the client record in Epic and sends an immediate response. It asks qualifying questions about their coverage needs, timeline, and current carrier. By the time your producer opens Epic the next morning, there's a qualified lead with notes already waiting.

Document and attachment management

OpenClaw uploads documents to the correct client and policy records in Epic through the attachments API. Certificates of insurance, claim photos, signed applications. Everything gets filed where it belongs without someone manually navigating Epic's folder structure for each document.

Cross-sell gap identification

OpenClaw reads your client's policy portfolio through the API and identifies coverage gaps. A commercial client with property and GL but no cyber? OpenClaw flags it, drafts the outreach, and logs the activity. It turns your book of business into a pipeline of warm cross-sell opportunities you'd otherwise miss.

Claims intake and tracking

A client calls about a fender bender at 6 PM. OpenClaw takes the initial details, creates the claim record in Epic, attaches any photos they send, and notifies your claims team. The client gets a fast, professional response. Your team gets a complete claim file when they arrive the next morning.

What is OpenClaw?

OpenClaw is an open-source AI assistant that connects to the tools you already use and operates them for you. Email, calendar, CRM, messaging. It reads, it responds, it takes action. It runs on your own devices, so your data stays yours.

It's not a chatbot you paste into a website. It's an operator that works behind the scenes, handling the tasks you keep putting off because there aren't enough hours in the day.

What this looks like in practice

Three real scenarios where OpenClaw and Applied Epic work together.

P&C Agency

The renewal that doesn't slip

A homeowner's policy is 75 days from renewal. OpenClaw pulls the policy details from Epic, checks the premium history and any open claims, then sends a personalized email asking if the client wants to review their coverage. The client replies asking about increasing their dwelling limit. OpenClaw logs the activity in Epic, tags the account for producer follow-up, and drafts talking points based on the current policy. The producer picks up a warm conversation, not a cold renewal task.

Benefits Broker

Open enrollment prep on autopilot

It's September. You've got 40 group benefits clients heading into open enrollment. OpenClaw reads each client's policy data from Epic, identifies which plans are renewing, and sends a templated outreach tailored to each group's size and plan type. It schedules review meetings, logs every communication as an activity, and creates a checklist of outstanding items per client. Your team walks into October with every client already engaged.

Commercial Lines

After-hours claim, morning-ready file

A contractor calls at 8:30 PM about water damage at a job site. OpenClaw collects the details (date of loss, location, description, photos) and creates the claim record in Epic attached to the right policy. It sends the client a confirmation with their claim number and next steps. By 8 AM, your claims handler has a complete file with photos, policy details, and client contact info. No voicemail tag, no morning scramble.

How setup works

Three steps. We handle the technical work.

1

We connect OpenClaw to your Epic instance

We help you generate API credentials through the Applied Dev Center and configure OpenClaw to connect to your Epic database. Client records, policies, activities, documents. All accessible through the REST API. This typically takes a day or two, including Applied's approval process.

2

We configure the AI for your agency

Your renewal timeline. Your activity templates. Your servicing standards. Your cross-sell priorities. We train OpenClaw on how your agency works so it responds and acts the way your best CSR would. Specific to your book of business, your carriers, and your workflows.

3

OpenClaw starts operating your Epic

Renewals get outreach. Activities get logged. New leads get responded to. You review the first few days, tell us what to adjust, and we fine-tune. Within a week, it's handling the routine work your team never has time for.

Common questions

Does OpenClaw replace Applied Epic?
No. OpenClaw connects to Applied Epic through its REST API and operates it on your behalf. Your Epic database, client records, policies, and workflows stay exactly where they are. OpenClaw adds intelligence on top of the system you already use. Think of it as giving your AMS a brain, not replacing it with a different one.
What Applied Epic features can OpenClaw access?
OpenClaw connects to Applied Epic's full REST API: clients, contacts, policies, activities, documents, attachments, claims, and commission data. If Epic exposes it through the API, OpenClaw can read it, update it, and act on it.
How long does the integration setup take?
Most Applied Epic integrations are fully running within 5 to 7 days. The API connection and credential setup happen in the first day or two (including approval through the Applied Dev Center). The remaining time is spent configuring OpenClaw for your agency's specific renewal cycles, activity templates, and servicing workflows.
Do I need special API access from Applied Systems?
Yes. You'll need API credentials from the Applied Dev Center, which requires an active Applied Epic subscription with API access enabled. We walk you through the entire credential process during setup. Most agencies get approved within a few business days.
Will this work with my existing Epic workflows and templates?
Yes. OpenClaw works alongside your existing Epic setup. Your activity templates, document categories, policy structures, and workflows all stay intact. OpenClaw reads from and writes to the same system your team uses every day. Nothing gets overwritten or replaced.
