Platform Integration

Your practice runs on Dentrix.
Your front desk still runs on you.

Dentrix holds every patient record, appointment, and treatment plan your practice has. But someone still needs to call patients back, follow up on unscheduled treatment, and fill tomorrow's cancellations. That someone is now OpenClaw.

OpenClaw connects to Dentrix through the Henry Schein One API Exchange. Patient data, appointments, treatment plans, billing. All accessible, all actionable.

Dentrix has the data. You're still doing the work.

The software tracks everything. But it can't pick up the phone, send a follow-up, or fill a cancelled slot.

Unscheduled treatment plans sit in a list

Dentrix tracks every treatment plan you've presented. The ones patients accepted but never scheduled? They're in the system. Sitting there. Your front desk is supposed to call those patients, but they're busy checking people in, handling insurance verifications, and answering the phone. So the list grows. That's revenue your practice already earned the right to collect, waiting on a phone call nobody has time to make.

Cancellations leave holes in tomorrow's schedule

A patient cancels their 2 PM cleaning. Now someone needs to check the short-call list, start texting or calling patients who might be able to come in, and hope to fill the slot before it costs you $300 to $500 in lost production. That process is manual, slow, and often doesn't happen at all because the day is already hectic enough.

Recall patients fall through the cracks

Dentrix generates recall lists. Patients due for their 6-month cleaning, overdue for X-rays, or past due for a crown they said they'd schedule "next month." The list exists. But calling 40 patients a day while running a front desk is unrealistic. So patients drift. Some come back eventually. Many don't. And you never know which ones needed a gentle nudge versus which ones forgot you exist.

New patient inquiries wait until someone's free

Someone calls or submits a form asking about becoming a new patient. If your front desk is with a patient, that call goes to voicemail. If it's after 5 PM, it goes nowhere. The average dental practice misses 30% of incoming calls. Each missed call is a potential patient choosing someone who picked up on the first ring.

OpenClaw + Dentrix Integration

OpenClaw connects to Dentrix through the Henry Schein One API Exchange. It reads patient records, appointment data, treatment plans, and account balances, then takes action on what it finds.

Fills cancellations from your short-call list

When a slot opens up, OpenClaw pulls patients from your Dentrix short-call list and starts reaching out by text or email. It checks who's due for what, matches the appointment type to the open slot, and books the first patient who confirms. The slot gets filled without your front desk making a single call.

Follows up on unscheduled treatment

OpenClaw reads treatment plan data from Dentrix and identifies patients with accepted but unscheduled procedures. It sends personalized follow-ups referencing the specific treatment (not a generic "you're due for a visit" message), answers basic questions, and books the appointment when the patient is ready.

Runs recall outreach automatically

OpenClaw queries Dentrix for patients due or overdue for recall appointments. It sends the first message, handles replies, and schedules the appointment. Patients who don't respond get a second and third touch at intervals you define. No more printing recall lists that sit on the front desk for weeks.

Responds to new patient inquiries instantly

When a new patient inquiry comes in (through your website form, after-hours call, or any connected channel), OpenClaw responds within seconds. It answers questions about insurance, office hours, and services, then books a new patient appointment directly into Dentrix with the right provider and operatory.

Handles outstanding balance follow-ups

OpenClaw reads account balances and payment history from Dentrix. For patients with outstanding balances, it sends polite, specific reminders ("You have a $245 balance from your February visit"). It can include payment links and answer questions about what the charge covers, all without your office manager spending an hour on collection calls.

Confirms appointments and reduces no-shows

OpenClaw reads upcoming appointments from Dentrix and sends confirmation messages at the intervals you choose (48 hours, 24 hours, morning of). When a patient responds to reschedule instead of confirm, OpenClaw handles the conversation and rebooks them. When someone doesn't respond at all, it flags them so your team knows who to call.

What is OpenClaw?

OpenClaw is an open-source AI assistant that connects to the tools you already use and operates them for you. Email, calendar, CRM, messaging. It reads, it responds, it takes action. It runs on your own devices, so your data stays yours.

It's not a chatbot you paste into a website. It's an operator that works behind the scenes, handling the tasks you keep putting off because there aren't enough hours in the day.

What this looks like in practice

Three real scenarios where OpenClaw and Dentrix work together.

Solo Practice

The cancellation that fills itself

A patient cancels their Thursday 10 AM crown prep. OpenClaw detects the open slot, pulls the short-call list from Dentrix, and texts four patients who need similar-length appointments. Mrs. Rodriguez responds in three minutes saying she can make it. OpenClaw books her into the slot in Dentrix, sends a confirmation, and notifies your front desk. Total time your staff spent on this: zero.

Multi-Location DSO

Recall across three offices

Your group has 4,200 patients overdue for hygiene across three locations. Hiring someone to call them all would take weeks. OpenClaw queries Dentrix at each location, segments patients by how overdue they are, and starts outreach. It handles the back-and-forth, books into the right location based on patient preference, and gives your office managers a daily summary of what got scheduled. In the first month, 340 patients rebook.

General Dentist

Treatment plan follow-up that actually happens

You presented $12,000 in treatment plans last month. About $7,000 was accepted but never scheduled. OpenClaw reads those treatment plans from Dentrix, waits the number of days you specify, then reaches out to each patient. "Hi Sarah, Dr. Chen mentioned you were planning to move forward with the two crowns on your upper molars. Would you like to get those scheduled?" Sarah replies with a question about cost. OpenClaw pulls her account balance and answers. Then books the appointment.

How setup works

Three steps. We handle the technical work.

1

We connect OpenClaw to your Dentrix system

We set up the connection through the Henry Schein One API Exchange using OAuth 2.0 authentication. OpenClaw gets secure read and write access to patient records, appointments, treatment plans, and account data. Whether you're on Dentrix G7 or Dentrix Ascend, we configure the right API path for your version.

2

We configure the AI for your practice

Your appointment types. Your recall intervals. Your providers and operatories. Your tone (some practices are formal, some are first-name casual). We train OpenClaw on how your specific practice operates so messages sound like they came from your team, not from a robot.

3

OpenClaw starts operating alongside Dentrix

Recall outreach goes out. Cancellations get filled. Treatment plan follow-ups happen on schedule. New patient inquiries get answered within seconds. You review the first week of activity, tell us what to adjust, and we fine-tune. By week two, it's running on its own.

Common questions

Does OpenClaw replace Dentrix?
No. OpenClaw connects to Dentrix through the Henry Schein One API Exchange and operates alongside it. Your patient records, appointment book, and billing data stay in Dentrix. OpenClaw reads from it, acts on what it finds, and writes updates back. It's an operator for your existing system, not a replacement.
What Dentrix data can OpenClaw access?
Through the Henry Schein One API Exchange, OpenClaw can read patient demographics, provider and staff information, treatment plans, account balances, completed procedures, payment records, payment agreements, and appointment data. It can also create new patient appointments and update records. The API uses OAuth 2.0 authentication, and all data transfer is SOC 2 Type II compliant.
How long does the integration setup take?
Most Dentrix integrations are running within 5 to 7 business days. The API connection goes live in the first couple of days. The rest of the time is spent configuring the AI for your practice's specific appointment types, recall protocols, follow-up sequences, and communication style. By the end of week two, it's handling patient outreach on its own.
Does this work with Dentrix Ascend too?
Yes. Henry Schein One offers API access for both Dentrix (the on-premise version) and Dentrix Ascend (the cloud-based version). The Ascend API is accessed through a separate portal but covers similar data points. We configure OpenClaw for whichever version your practice runs. If you're a DSO with some locations on Dentrix and others on Ascend, we can set up both.
Is my patient data secure with this integration?
The Henry Schein One API Exchange requires SOC 2 Type II compliance and OAuth 2.0 authentication for all authorized integrations. OpenClaw runs on your own infrastructure, so patient data doesn't pass through third-party cloud servers. Data flows directly between your Dentrix system and your OpenClaw instance. You maintain full control over what data is accessed and how it's used.
